KeeleSU Jobs Fair 2019 Terms and Conditions 

 

 

1.0 Bookings

1.1 Once the completed booking form has been received and the Jobshop has confirmed a place the booking is considered firm.  The Jobshop reserves the right to terminate the booking at any time by giving reasonable notice.

1.2  KeeleSU makes every effort to promote events, but cannot guarantee student attendance.

1.3 Final Fair details and instructions will be forwarded approximately two weeks before the fair.

1.4 Any exhibitor found breaching the terms and conditions for the event will be removed from the premises and prevented from attending future events.  No refunds will be given.

1.5 In the event that for any reason KeeleSU shall cancel all or part of the event or be unable to perform their obligations under this agreement then the liability of KeeleSU shall be limited to the refund of any payments made by the exhibitor to the Students’ Union under this agreement.

 

2.0 Cancellations

2.1. Cancellations by any organisation booked onto the fair must be made in writing to :Jobshop, Keele University Students’ Union, Keele, Newcastle, Staffordshire, ST5 5BJ or by email to su.jobshop@keele.ac.uk  A late cancellation fee of £20.00 will be charged for all cancellations after 25th September 2019.

2.2  Any exhibitor that pays for a stand and does not attend will not be entitled to any refund of the booking fee.

 

3.0 Exhibitor Equipment 

3.1  Delivery of any exhibitor equipment to the Students’ Union, prior to the fair must be prearranged with the Jobshop.

3.2 KeeleSU assumes no liability for loss or damage of exhibitors equipment.  Exhibitors will be responsible for the removal of equipment and any materials/property used by them during the fair.  All equipment must be removed or collected from the Students’ Union by 5 pm on the day of the fair.

3.3 KeeleSU reserves the right to remove from display any material from exhibitors stalls that are seen as unsuitable.

3.4 Areas must be left in a reasonable & tidy condition. 

3.5 The following products are not permitted to be promoted; Nestle products, student Barclaycard products & Fruit of the Loom products. In the instance that any of these products or literature/marketing materials promoting these products are distributed, the exhibitor will be asked to leave the event and will not be given a refund.

3.6 No exhibitor may take or receive monies by cheque, cash or card payment or otherwise from any visitor on the day of the fair unless previously arranged with the Jobshop. 

 

4.0 Facilities

4.1 KeeleSU reserves the right to make alterations to the facilities including changing the location of the fair, if necessary.

4.2 The Jobshop will provide Exhibitors with a table 6ft x 3ft, tablecloth & chairs.  If you require power for electrical supply, please indicate this on your booking form.  WiFi access will be provided where possible and usernames and passwords will be available at the Fair for each organisation. 

4.3 The fair runs from 11 am to 3pm, you will be able to gain access to the venue and your stand from 9am.

4.4 The Jobshop reserves the right to allocate exhibitors to whichever stand it deems appropriate.  You will be informed of your stand location when you arrive on the day.

 

5.0 Health & Safety

5.1 Exhibitors must not obstruct access to fire exits or fire fighting equipment.

5.2 Exhibitors must not endanger the safety of Student Union staff, students or any other person(s).

5.3 Exhibitors must comply with any Health & Safety instruction issued by the Students’ Union & University.

5.4 Exhibitors may supply the necessary plugs and extension cables to satisfy their requirements.  It is the exhibitor's responsibility to ensure that any electrical equipment meets the relevant health & safety legislation.  KeeleSU reserves the right to require exhibitors to disconnect from the supply.

5.5 Exhibitors must at all times comply with fire evacuation procedures.  On hearing the fire alarm (which is a continuous ringing bell) you will be required to leave the building at once by the nearest available route.  Escape routes will be indicated by green signs and are plotted on the fair floor plan.

 

6.0 General Data Protection Regulations

6.1 KeeleSU is committed to protecting the privacy and confidentiality of personal information relating to exhibitors.  Personal data held by KeeleSU will be used for the purposes of administering/managing the business relationship only.

6.2 Disclosure of personal information to a third party will only occur with the express permission of the exhibitor, unless KeeleSU has a legal/statutory obligation to disclose the information or to protect the vital interests of the exhibitor, e.g. where disclosing the data is required to fulfill a medical emergency.

6.3 In accordance with the General Data Protection Regulations, an exhibitor has the right to request information held about them.  Requests need to be made in writing to the KeeleSU Data Protection Officert at su.itsupport@keele.ac.uk

6.4 Any information collected by exhibitors at the fair may only be used for that exhibitor and may not be passed on to any third party.  Exhibitors are required to comply with the provisions of the General Data Protection Regulations in relation to any data collected or obtained during the event.
