Retaining Members

Recruiting new members is one thing, but how can you ensure that you keep them throughout the academic year?

Every year, clubs and societies see a surge in membership during the welcome period—but keeping students engaged throughout the year can be a challenge. Here are some key strategies to help maintain interest and build a lasting community:

🎉 Events

  • Variety and Regularity: Host a mix of social, educational, and casual events on a consistent schedule to keep things fresh and engaging.
  • Cater to Different Interests: Offer events that appeal to different personalities and preferences—some may enjoy workshops, others may prefer games or discussions.
  • Respect Flexibility: Make it clear that members can attend as much or as little as they like—no pressure, just participation.
  • Advance Notice: Promote events early and clearly. Use multiple channels (email, social media, posters) and update members if plans change.
  • Inclusivity: Ensure events are accessible to all. Make use of training on disability access, inclusivity, and student welfare to create a welcoming environment.

🗳️ Be Democratic

  • Member Input: Regularly ask members what they’d like to see—this helps them feel involved and valued.
  • Feedback Tools: Use polls, suggestion boxes, and feedback forms to gather ideas and improve your activities.
  • Transparency: Keep members informed about committee decisions and hold open meetings where possible.
  • Equal Status: Remember that committee members are facilitators, not rulers. Treat all members with equal respect and openness.

🤗 Avoiding Cliques

  • Mix and Mingle: Committee members should actively engage with all attendees at events—not just their friends.
  • Transparency: Share plans, updates, and opportunities openly to avoid exclusivity.
  • Address Issues: If bullying or harassment occurs, report it to the Student Experience Team or Student Services immediately.
  • No Punishments: Committees should not enforce their own disciplinary actions. Always follow the Keele SU Code of Conduct.

🎓 Staff & Alumni

  • Student-Run: Societies should be led by current students. Non-students should not have decision-making power or dominate events.
  • Balance Attendance: Alumni are welcome, but their presence should not overshadow new or current students.
  • Exclusive Events: Keep most events student-focused, with occasional alumni-specific gatherings to maintain balance.

Every club or society is different—some have no associate members, while others have many. At Keele SU, we recommend keeping memberships for current students only. If you're considering associate memberships, speak to the Student Experience Team first to ensure it supports your group’s goals and doesn’t deter new members.
