Every year our Clubs and Societies raise thousands of pounds for charity and do an amazing job of raising awareness for several worthy causes. Fundraising is a great way to bond with other members, learn new skills and gain a real sense of achievement knowing you have done something good! If you're planning on raising money for chairty or for your club/society, make sure you read through this page carefully to find out everything you need to know.
Charity Event-Planning Checklist
- Select your charity – Some groups raise money for a different cause every time, whilst others vote on a charity at the start of the year and keep the same one all year
- Contact your charity – Let them know you’re planning on raising money for them. It might be they can give you information or resources that will make running your event a bit easier.
- Check your dates – Could you coincide your fundraising event with another larger event to make the most of the crowds? Or maybe your event will clash with another; are there any dates you need to avoid?
- Book a room/stall – You can book a stall for the SU builidng or forest of light at this page on the booking hub. Will you need to ask permission to do your activity on top of booking your room? If off campus, have you asked the landowners permission?
- Complete a Risk Assessment – Your activity may already be covered by your main risk assessment, but check just in case and make sure you complete a new one and send it to Activities if needed.
- Promote your event – Utilise social media, paper advertising and anything else you can get your hands on! Make sure you keep Keele SU informed of what you’re up to so that we can celebrate your success. It might even be worthwhile contacting the media in case they’d be willing to run an article or radio interview about your club/society.
Rules/Regulations
As a charity ourselves, Keele SU can’t donate money or resources to other charities. This means that any money belonging to your Club or Society ultimately belongs to Keele SU, and therefore cannot be donated. This includes membership fees and any grant money or sponsorship your group may secure.
However, what you can do is donate the overall profit from your event, as long as it’s clear when running your event that profits and donations will be going to your chosen charity, not your club/society. This is the total amount of money raised minus the cost of running your event. You can do this through the MSL Finance System, using the ‘Pay Charity’ function. Please see our page on spending money for full instructions on how to do this. Make sure you clearly demonstrate in the description of your payment that the money you are donating is profit only for our annual financial audit.
food Safety Rules
If you are planning on selling or having food on your stall or at your fundraiser and its not prepackaged food then you MUST have a food safety certificate. You can get this by emailing su.activities@keele.ac.uk and we can set you up on the training.
All food stalls must be in line with the University’s food safety policy (Providing Food Safely Code of PracticeThis link will open in a new tab). The SU will require the following documents before arrival:
-Public Liability Insurance Documentation
-Food Hygiene Certificate
-Allergen Traning Certificates
-Completed Risk Assessment (including the risk of fire)
-PAT Test Certificates
