Information for clubs and societies putting on events

Club & Society Events

  • Clubs & societies must list any society events on KeeleSU.com (KeeleSU’s Unions Management system). Committee members can do this via the admin screens on the website.
  • Any ticketed events organised by societies/clubs must be arranged and placed on sale via keelesu.com; these can go on sale via the website and/or Box Office.
  • You must ensure that you are legally eligible to advertise the content within your event listing on the site.
  • You must ensure you have the right to use all content in your listing and we have the necessary right to use the content on our site.
  • You are solely responsible for reviewing the content of your listing to ensure all the details are correct. Keele SU will not be liable for any mistakes or errors in content that has been submitted by you.
  • The content of your listing and your activities on the site must not be false, inaccurate or misleading, contain links to websites which are in competition, be offensive or menacing, abusive, defamatory, or in breach of any intellectual property rights, confidential information, privacy or any other rights arising from time to time. It must not infringe any third party intellectual property rights including copyright, patents, trademarks, trade secrets or any other proprietary rights of publicity or privacy, be fraudulent or involved in the sale of counterfeit or stolen goods, be in breach of any applicable laws or regulations, be obscene, indecent or contain pornography or cause the Site to be interrupted, damaged, rendered less efficient or such that the effectiveness or functionality of the site is in any way impaired.
  • All event listings must only be listed once and contain correct spelling and grammar. It must contain correct and true information.
  • Repeated posting of unsuitable listings may result in the event being removed.
  • Keele SU reserves the right to suspend any events which do not meet or breach the above conditions.
  • You will notify Keele SU and update the listing within 24 hours should the event be cancelled or rescheduled.
  • If you request the deletion or amendments of a listing we can only do this with proof that you are the original advertiser or another committee member from that society.
  • Keele SU will not be liable for any economic loss including without limitation loss of revenues, profits, contracts, business or anticipated savings, any loss of goodwill or reputation or any special, indirect or consequential damages however arising including negligence arising out of or in connection with the services being provided under these terms and conditions.
  • You agree to indemnify Keele SU from any claim or demand including reasonable legal fees made by a buyer or any other third party due to or arising out of your breach of these terms and conditions or your violation of any law or the rights of a third party.
  • Tickets can only be placed on sale via emailing su.tickets@keele.ac.uk.
  • Keele SU will offer technical support between the weekday hours of 9am and 5pm via su.tickets@keele.ac.uk.
  • All societies are required to provide a separate risk assessment if the event is an activity that is not covered in your society's general risk assessment.

In the Event of a Society Event Being Cancelled:

  • Keele SU will refund the face value of the ticket only.
  • Keele SU will refund all tickets sold.
  • All refunded money will be deducted from the society account.
  • Keele SU will only be responsible for refunding tickets sold via Keele SU.

External Venue Events:

If you are planning to use an external venue for your event, you must provide any copies of contracts or quotes BEFORE you sign them to su.activities@keele.ac.uk, so they can be reviewed and approved to ensure the price is fair value, the society can afford that amount, and an appropriate location has been chosen.

Night Events at the SU:

If you are booking a room to run an event at night, or where you need the services of Keele SU's Events team, then it is always advisable to contact su.venues@keele.ac.uk to find out any of the cost implications, and to discuss needs such as technology assistance and security.
