Using your Club & Society Page

Once elected, you are given committee admin access which allows you to edit your society page on the SU website. This section will look at what is available on your student group page, how you can edit it, and an example of what a good page looks like.

Once elected, you are given committee admin access which allows you to edit your society page on the SU website. It's important to have an active and up-to-date society page, especially from August, as this is when new students who have been accepted to study at Keele start looking at what student groups are on offer.

This part of committee resources will look at what is available on your student group page, how you can edit it, and an example of what a good page looks like.  

We will also remind you how to log into your Club & Society emails.

Committee admin tools:

To get to your student group page, make sure you have logged on to the SU website. Only committee members have access to the committee admin on their page, if you do not have access despite being elected, contact su.activities@keele.ac.uk

How to access admin tools:

Make sure you click on this cog icon on the SU page from you're society or club page, this cog produces a drop-down list. From there admin access can be found, you will be taken to a page similar to the image below; 

Once you have clicked on the cog, it will take you to the committee admin access page. Here you have access to edit everything on your page, including adding social media links, pictures and videos, setting up events and ticket request forms, booking rooms in the SU building, adding merchandise and other products, and many other tools.  

What do all the admin tool buttons do? 

Edit Details

Boost your group's page by adding a logo and contact details, including social media links like Facebook or Twitter, which will show up with cool icons. Adding YouTube videos can make your page pop, letting potential members see your events, socials, meetings, competitions, or games. Typically, you'll include an intro to your group, regular meeting or training times, upcoming events, and the best ways for students to contact the committee.

Messages

From here, you can send bulk emails to members. Create specific lists, like committee members, ticket buyers, or team players. Click 'Send Email' to compose a message from the group's email. Use the 'To' button to select recipients or lists. Schedule emails for later and track who opens and reads them. Emails go to the student's default email, usually their student email, though some might choose a different one.

Events

All events organized by the society or club are visible here, including links to buy tickets. Edit event details like venue, time, and date, but ticket-related events need a meeting with Activities before changes. Setting up events and tickets on the SU website doesn't confirm the event; you must consult Activities first. Events automatically appear on the Keele SU and University apps, your Society page, the Events and Tickets page, and the SU website's main page, showing the next seven days' events.

Members and Groups

This tool lists all members and their student numbers, membership types, and payment statuses. Committee members must purchase a membership, appearing in the list twice: once as a committee member and once as a regular member. Create lists for various purposes, like those who bought kits or can play on specific days. These lists can be private to core committee members or public and can be deleted anytime.

Products

Set up products to sell, like fleece, socks, or hoodies, or use them to collect donations for your club or society. Each product needs a name and price, but most require more details. For example, when setting up hoodies, allow choices for color, size, personalization, and type (zipped, pullover, etc.). This customization is managed through the Products tool. When using an external company, get exact product descriptions, including color names, clothing types, and sizes, and ask for product photos to attach to your listing. Note that the system doesn't track product delivery from external companies.

Sales Report

This tool lets committee members view sales of tickets, products, or memberships over a specific period.

Finances

The Finances dashboard allows students to create finance requests for reimbursements, payments to external companies, or equipment purchases. Any society member can request a reimbursement, but only Presidents, Club Captains, and Treasurers can approve them.

New Membership/Change Price

Use this tool to change your society or club's membership prices or to add or remove memberships on sale.

How to Access Your Club & Society Emails

All groups have an @keele.ac.uk email address, accessible to all committee members via their student accounts. This email is used for official communications with external parties and is the default contact on your Society page. It's crucial to use this account to avoid missing important communications. Access it similarly to your student Outlook email account, but with slight differences. Follow this guide to add a shared mailbox: Outlook: Add a Shared Mailbox - Self-Service Portal (keele.ac.uk). If you lack access, contact su.itsupport@keele.ac.uk.
