A guide to booking rooms, equipment, stalls and transport for your events and information on the External Speaker Process.

As a Keele SU-affiliated club or society, you get free access to a variety of campus spaces and discounted rates on premium rooms. Here’s your go-to guide for booking rooms and making the most of your events.

🧭 Rooms & Spaces at Keele SU

  • Block Bookings: Available every September via a form emailed to all societies. Deadline: End of September.
  • After October: Book manually via the Booking Hub.
  • Booking Notice: Submit requests at least 3 working days in advance.
  • Food & Drink: Allowed—just tidy up afterwards! (No alcohol in meeting rooms)
  • External Guests: Complete the External Speaker Form before inviting non-students.
  • Need Help? Contact the Duty Manager at 07523 514170 if the room is locked or you encounter issues.

🎤 Student Experience Equipment

Need gear for your event? Clubs and societies can borrow equipment—just sign it out and return it in good condition. Reserve equipment via the Booking Hub.

🚐 Vehicle Bookings

Need transport? Book a 9- or 17-seater Keele SU minibus through the Booking Hub.

Driver Requirements: Must be 21+, hold a full UK license for 2+ years, and meet additional criteria.

⛽ Fuel Reimbursement

Need to claim fuel expenses for using your own vehicle? Follow these steps:

  1. Fill Out the Form: Download Fuel Reimbursement Form
  2. Attach to your Expenses Claim
  3. Submit for processing

🛍️ Stall Bookings

Promoting your society or fundraising? Book a stall for your activity.

  • Food Stalls: Must be booked 7+ days in advance.
  • Food Safety: Provide a valid food safety certificate. Don’t have one? We offer a free Level 1 course—email su.activities@keele.ac.uk to sign up.

Keele University Lecture Theatre 🏫 University-Wide Room Bookings

Need a room outside the SU? Book spaces like the Chancellor’s Building or Walter Moberley through the Central Timetabling Unit (CTU). Learn more here.

🏙️ Keele in Town

Looking to host an event off-campus? Keele in Town offers flexible spaces in Newcastle-under-Lyme for community outreach, workshops, and pop-up events.

  • Location: Keele in Town, High Street, Newcastle-under-Lyme
  • Facilities: Meeting rooms, presentation equipment, and breakout areas
  • Booking: Contact the Student Experience Team at su.activities@keele.ac.uk for availability and booking details.
